How Ava works

Ava is a member of the Autonomous AI Workforce, trained on your practice: services, fixed-fee packages, who handles what, hours, software you use and how you take on clients. She answers phone, web chat and WhatsApp, screens new enquiries and captures turnover, entity type and services needed so a proposal can go out in seconds, books existing clients with the right person, and transfers to a human on request. She says only what your knowledge base says and gives no tax or accounting advice. Every call is transcribed to the client record. Rules, calendars and escalation paths are set with you at onboarding.

the filings per MTD client from April 2026: four quarterly updates plus a final declaration instead of one return. Manual chasing does not scale five-fold.

Source ranges: UK SME call-answering studies 2025–26; HMRC self-assessment filing statistics, January 2025 (c. 3.4m of 12.1m returns outstanding a week before the deadline); HMRC Making Tax Digital for Income Tax timetable (April 2026, income over £50,000). Your own figures replace these in the review.

What is a slow reply costing you?

Put in your own enquiry volume and average annual fee per client. Every new client is a recurring engagement, so a missed enquiry is a year of fees, not one job.

Built for the rules a UK practice works under

AML and client take-on

How

ID and proof-of-address capture at engagement, with the records stored on the client file for your supervisory body’s inspection. Your risk assessment stays yours.

The receptionist’s limits

How

It gives no tax or accounting advice, never accesses a ledger, says only what your knowledge base says, and hands off to a human on request. Every call is transcribed.

Client data

How

Client data is processed under UK GDPR with Autonomous AI as your processor. Client lists never sync to ad audiences. Marketing goes only to contacts with recorded consent; service reminders are separate.

Engagement letters

How

Your own engagement letter and terms, in your professional body’s recommended form, sent for e-signature with an audit trail. We do not draft your terms.

Advertising

How

Ad and page copy respects CAP Code and professional-body guidance: fees shown as charged, credentials as held, no guaranteed tax savings.

Your data stays yours

How

You own the client records, the templates and the numbers. If we part, you keep them.

Questions

Frequently asked

Do you replace our practice or bookkeeping software?

No. Xero, QuickBooks, Sage, FreeAgent, TaxCalc and the rest stay as the ledger and the filing tools. LedgerFlow runs the front office around them — enquiries, onboarding, chasing, reminders, portal, fee collection. On Complete we connect the two by API.

Is it ready for Making Tax Digital?

Yes. MTD for Income Tax started in April 2026 for sole traders and landlords with income over £50,000, and each client now needs quarterly updates plus a final declaration. LedgerFlow reminds each client before their quarter, chases the missing data and tracks who is in. The filing itself stays in your MTD-compatible software.

Can an AI receptionist take an accountancy enquiry safely?

It answers only from your approved knowledge base, gives no tax or accounting advice, captures entity type, turnover and services so a proposal can go out, and transfers to a human on request. Every call is transcribed.

How does one-day onboarding work?

Your fixed-fee price list goes into the system once. An enquiry becomes a proposal in seconds; the prospect signs the engagement letter, uploads ID and sets up a Direct Debit mandate on one page; the portal invite and records checklist follow. Your team reviews and approves the engagement — it does not retype anything.

What do you need from us?

Your services and fixed-fee packages, who handles what, hours, the software you use, your engagement letter and terms, your AML take-on procedure, plus a named person for the weekly numbers. Onboarding collects it in one session.

How quickly is it live?

Onboarding is a paid, guaranteed build. Records chasing and the overflow line typically go live inside 14 days; the full system follows over the first month — timed around your next deadline, not ours.

What does it cost?

Core £299, Connected £599 or Complete £1,099 a month on a 12-month term, plus a one-off onboarding and build fee of £499–£1,499. Shorter 3 and 6-month terms are priced above. Calls and texts beyond your allowance are charged at the published rates. Ad spend, if any, is billed to your own accounts. Multi-office practices are quoted.

Is there a contract?

Yes — a 3, 6 or 12-month term, signed online, with a 14-day cooling-off period. Longer terms carry the lower monthly rate. Everything you agree is written into Schedule A before you sign.

Who writes the reminders and chases?

We draft every reminder and chase sequence in your practice’s voice during onboarding and you approve it. Nothing goes to a client that a partner has not seen.

Do we keep our phone number?

Yes. Calls to your existing number are forwarded to Ava on the rules you set — all calls, overflow only, or out of hours only. Nothing is ported unless you want it to be.

Does it work for a bookkeeping-only or payroll bureau?

Yes. The boards, chase sequences and reminders are built per service line, so a bookkeeping or payroll-only practice gets the parts it needs and none of the rest.

Start with your own numbers

Twenty minutes. We bring your enquiry volume, your answer rate, your records-outstanding count and your lock-up. You decide whether any of it is worth fixing.
