Do you replace our practice management software?

No. Dentally, SOE, Exact and the rest stay as your clinical record. CareFlow runs the front door, the follow-up and the reporting around it. On Complete we connect the two by API so bookings and recall flow both ways.

Is an AI receptionist safe with patients?

It answers only from your approved knowledge base, never gives clinical advice, routes pain to a same-day slot or 999 by rule, and transfers to a human on request. Every call is transcribed so you can check what was said.

What do you need from us?

Your prices, dentists and GDC numbers, hours, emergency policy and complaints procedure, plus a named person for the weekly numbers. Onboarding collects it in one session.

How quickly is it live?

Onboarding is a paid, guaranteed build. The emergency line and treatment-plan recovery sequence typically go live inside 14 days; the full system follows over the first month.

What does it cost?

Core £299, Connected £599 or Complete £1,099 a month on a 12-month term, plus a one-off onboarding and build fee of £499–£1,499. Shorter 3 and 6-month terms are priced above. Calls and texts beyond your allowance are charged at the published rates. Ad spend, if any, is billed to your own accounts.

Is there a contract?

Yes — a 3, 6 or 12-month term, signed online, with a 14-day cooling-off period. Longer terms carry the lower monthly rate. Everything you agree is written into Schedule A of the agreement before you sign.

Who writes the messages?

We draft every sequence in your practice’s voice during onboarding and you approve it. You can edit any message yourself at any time; nothing goes out that you have not seen.

Can our team still call patients?

Yes. The system creates call tasks at the right moment — day 10 of a plan follow-up, for example — and hands the phone to your coordinator. It replaces the chasing, not the conversation.

Does it work for NHS and mixed practices?

Yes. Ava answers NHS and private enquiries by your rules — NHS availability, private options, emergency policy. Private-pay nurture goes only to patients who have consented to marketing.

Do we keep our phone number?

Yes. Calls to your existing number are forwarded to Ava on the rules you set — all calls, overflow only, or out of hours only. Nothing is ported unless you want it to be.

Dentally, SOE Exact and most cloud PMS by API on the Complete plan; on Core and Connected we work alongside your PMS with the front door, follow-up and reporting running in CareFlow.
