The booking came from the enquiry reply or the website. The confirmation, the two reminders and the parking note went out on their own. The no-shows were re-invited to the next visit morning. Everyone who came got a personal follow-up the next morning with the next step — a taster day, an assessment slot, or the registration form.

How Ava works

Ava is a member of the Autonomous AI Workforce, trained on your school or centre: fees, entry points and year groups, term dates, open days, scholarships and bursaries as you describe them, the curriculum and exam boards you offer, and who to hand to. She answers phone, WhatsApp and web chat, books visits and taster sessions into the diary, and hands over to a named person on request. She speaks only with parents, guardians and adult learners; anything pastoral, safeguarding-related or about a named pupil is passed to your staff, never handled automatically. Every conversation is transcribed to the family record.

of calls to small organisations go unanswered — and a school office is in assembly, at the gate, or closed when parents actually enquire: evenings, weekends, half-term. A live answer converts at roughly 35%; a Monday-morning reply competes with three other schools.

Fees & re-enrolment

Fees arrive on time. Re-enrolment is known in March, not September.
What it is

Termly invoices with Direct Debit, reminders before the due date rather than after, payment plans where you allow them, and re-enrolment reminders three times before the deadline. Overdue fees are chased politely and consistently; the bursar sees only the exceptions.

Retention & reviews

Leavers are noticed in the spring. Reviews arrive while parents are proud.
What it is

Termly check-ins with every family, a review request after a good parents' evening or results day, and early-warning flags for families going quiet. Leavers get an exit conversation booked with a named person while it can still change something.

Compliance

Built for the rules a UK school or training provider works under

Children's data

How

Pupil data is processed under UK GDPR and the ICO Age-Appropriate Design Code. The system communicates with parents, guardians and adult learners only; no marketing is ever addressed to a child.

Safeguarding boundary

How

Ava handles enquiries and bookings, not pupil communication. Anything pastoral, safeguarding-related or about a named pupil is routed to your designated staff, in line with your safeguarding policy and KCSIE, never handled automatically.

The receptionist's limits

How

Ava quotes only the fees and dates you set, says only what your knowledge base says, never discusses a child's application or assessment, and hands off to a named person on request. Every conversation is transcribed.

Consumer contracts

How

Parent contracts, registration terms and deposits are presented with clear pre-contract information, the 14-day cooling-off where it applies, and a signed, timestamped record — structured to meet the Consumer Contracts Regulations and the Consumer Rights Act 2015.

Advertising

How

Ad and page copy respects the CAP Code: fees as charged, results and inspection outcomes as published, accreditations and memberships as held. No “outstanding” claim you cannot evidence.

Your data stays yours

How

You own the family records, the pipeline, the templates and the numbers. If we part, you keep them.

Questions

Frequently asked

Do you replace our MIS?

No. Pupil records, the register, timetables and reports stay in your MIS. EduFlow runs the admissions and enquiry desk around it — reply, visits, pipeline, registration, fees, retention. On Complete we connect the two by API so a registered family becomes a pupil record without re-keying.

Does this work for a single tutor or a small tuition centre?

Yes. Core is built for that case: instant enquiry reply, taster booking, registration e-sign and payment chasing, without a school-sized setup. The academic-year sequences are the same; the numbers are smaller.

Will parents know it is not a person?

Ava is presented as an AI member of your team and says so if asked. Parents get a natural conversation that answers the practical questions and books the visit. Anything pastoral, admissions-specific or about a named child is handed to your staff.

How is children's data handled?

Under UK GDPR and the ICO Age-Appropriate Design Code, with Autonomous AI as your processor. Campaigns and conversations target parents, guardians and adult learners only, never children. We set out what we hold and why in our privacy policy.

What about safeguarding?

The system handles enquiries and bookings, not pupil communication. Anything that touches safeguarding is routed to your designated safeguarding lead or the staff you name, rather than handled automatically. The routing rules are agreed at onboarding and written into Ava's instructions.

Can it handle open-day and taster bookings?

Yes — places, confirmations, reminders at seven days, one day and on the morning, a parking note the night before, re-invites for no-shows and next-morning follow-up for everyone who attended. That last step is where most schools lose the family.

Can it take registration and deposits?

Yes. The offer letter carries the registration form, the parent contract, consents and the deposit link. Signed on a phone; deposit by card or Direct Debit; the place is confirmed automatically when the deposit lands.

Do we keep our phone number?

Yes. Calls to your existing number are forwarded to Ava on the rules you set — all calls, overflow only, or out of hours and holidays only. Nothing is ported unless you want it to be.

What do you need from us?

Fees, entry points and year groups, term dates and open days, your prospectus, the admissions steps you follow, who handles bursaries, SEND and safeguarding, and a named person for the weekly numbers. Onboarding collects it in one session.

How quickly is it live?

Onboarding is a paid, guaranteed build. Instant enquiry reply and visit booking typically go live inside 14 days; the full system follows over the first month — timed for your next open day or intake deadline. If we miss the date, we keep working at no extra charge.

What does it cost?

Plans from £299 a month plus a one-time onboarding fee from £499, on a 3, 6 or 12-month term. We are not VAT registered, so there is no VAT to add. Ad spend, when you run it, is billed to your own accounts. Full detail is on our pricing page.
